Personal Assistant Job Vacancy In Kenya. Reporting to the Chief Operations Officer (COO), the Personal Assistant will primarily provide efficient and effective secretarial support to the Chief Operations Officer in Nairobi with office administrative functions. 
Responsibilities
Travel Management: Co-ordination of daily administrative requirements including travel both domestic and international.
Dairy Management: Keeping the diary of the COO and processing his expenses,

Meeting Coordination: Coordination of various internal and external project meetings and conference calls, creation and distribution of pertinent documentation and reporting relevant minutes.
Filing and Document Management: Filing of technical and non technical documents and correspondence in cooperation with current system and staff. Keep track of current projects and subjects as directed by the COO.
Administration: Creation of various forms of documentation related to the project i.e. reports, schedules, minutes, presentations, process diagrams etc. Work with accounts and contracts with regards to Purchase Orders (POs) raised by the COO and deal with petty cash expenditure.
Reporting: Co-ordination, assimilation of information and production of scheduled reports.
Joint Duties: Work closely with the PA of the Country Manager. 
Requirements
Degree in Business with a Diploma in Finance and IT.
Solid experience as a PA or Administrator at very senior level, preferably within an international company, overseas experience and work within the oil industry is an advantage.
Exceptional interpersonal and communication skills, teamed with the ability to build relationships and deal with people at all levels within private and government institutions as well as within the organization.
Demonstrated high level of ability in MS Office including Word, Excel, Outlook, and PowerPoint and Project. Requirement to learn Proactis as well as in-depth IT skills to deal with everyday IT glitches and internet connections.
Effective time management and organizational skills
Efficient filing and processing of administrative and technical information.
Demonstrated high level of written and oral communication skills and demonstrated ability to prepare accurate and effective reports, minutes, agendas etc.
High level of integrity, tact and confidentiality.
