Job Title: Executive Assistant to the CEO

Job Description

  • The Executive Assistant to the CEO will provide strategic and high-level executive support to the Chief Executive Officer.
  • The successful candidate will act as a key coordination point between the CEO and internal and external stakeholders, ensuring that the CEO’s time, priorities, communications and engagements are managed efficiently.

Key Responsibilities

  • Manage the CEO’s complex calendar, meetings, appointments and engagements.
  • Coordinate executive meetings and prepare agendas, briefing materials and presentations.
  • Manage correspondence and communications on behalf of the CEO as appropriate.
  • Prepare reports, presentations, proposals and other executive-level documents.
  • Attend meetings with or on behalf of the CEO, take minutes and track action points.
  • Liaise with senior management, clients, partners and other key stakeholders.
  • Prioritize incoming requests and ensure urgent matters receive appropriate attention.
  • Conduct research and provide relevant information to support executive decision-making.
  • Coordinate local and international travel, itineraries and related logistics.
  • Monitor strategic assignments and follow up with responsible stakeholders.
  • Maintain strict confidentiality regarding executive and business matters.
  • Support the CEO on special projects and strategic initiatives.

Requirements

  • Bachelor’s Degree in Business Administration, Management, Communications or a related discipline.
  • Minimum of 5 years’ experience supporting a CEO, Managing Director, Executive Director or other C-suite executive.
  • Exceptional written and verbal communication skills.
  • Strong business acumen and executive presence.
  • Excellent organizational, planning and prioritization skills.
  • Advanced proficiency in Microsoft Office/Google Workspace.
  • Strong report writing and presentation preparation skills.
  • Excellent judgement, discretion and confidentiality.
  • Ability to anticipate executive needs and work with minimal supervision.
  • Ability to interact professionally with senior executives and high-level stakeholders.
  • Willingness to travel.
