Office Administrator Job in Nairobi Kenya

Our client, a design agency based in Nairobi that delivers creative solutions in the areas of creative design, print and branding is looking to recruit an Office Administrator

The Office Administrator will be responsible for the organisation and co-ordination of office operations, procedures and resources in order to facilitate organisational effectiveness and efficiency.

The Office Administrator will specifically be responsible for:

  • Performing reception duties in an efficient, professional and courteous manner in the absence of the receptionist;
  • Organising office operations and procedures;
  • Ensuring filing systems are maintained and current;
  • Ensuring security, integrity and confidentiality of data;
  • Managing internal staff relations;
  • Preparing payroll and statutory documents & payments;
  • Managing the office budget and ensuring accurate and timely reporting;
  • Managing the communication between customers/suppliers/visitors/enquirers and relevant staff;
  • Managing relationships with vendors, service providers and landlord;
  • Ensuring that all items are invoiced correctly and paid on time;
  • Serving as the point person for maintenance, mailing, shopping, supplies, equipment, bills, and errands;
  • Coordinating efficiently the transport logistics with riders and cab service for pick up and deliveries;
  • Acting as the quality control person for deliveries done from vendors; and
  • Pursuing personal development of skills and knowledge necessary for the effective performance of the role.
The successful candidate should have the following qualifications:
  • Bachelors degree or Diploma in Business Administration or any other relevant field;
  • A minimum of two (2) years experience in a similar role;
  • Proficiency in MS Office and Quickbooks (MANDATORY)
  • Possess strong communication/interpersonal skills both written and oral;
  • Attentive to detail and possess problem solving skills;
  • Must possess sound judgment and reasoning capacity;
  • Possess strong organisational and planning skills;
  • Ability to work under pressure and independently;
  • Exude a positive image that reflects well on the organisation;
  • Should be professional and possesses high degree of integrity and confidentiality; and
  • Past experience in a creative agency will be an added advantage.
