The Institute
for Education in Democracy (IED) is a non-partisan non-profit making Non -
Governmental Organization (NGO) which promotes democracy through the Electoral
Processes and Institutions of Democracy, Civic Engagement and Flames of
Democracy, Research, Documentation and Dissemination, Consultancy Programmes in
Kenya and the Africa region.
Vacancy: Administration
and Finance Officer
The Position: The holder of this position reports to
the Executive Director and responsible for the overall implementation of the
administration and finance functions of the Institute.
Main Duties
- Implements financial policies and procedures in accordance with IED and donor requirements
- Preparation and administration of budgets
- Develops reporting formats to aid in grant management, operations and reporting
- Produces regular financial statements so that the Executive Director and the Board of Directors have adequate information for decision making
- Provides advice in purchasing and procurement of goods and services
- Provides leadership to support staff, allocates duties, inculcates in them IED values, ensures high productivity
- Co-ordinates staff training needs, advice and assist the Executive Director in personnel/HR issues
- In charge of logistics and fixed assets management, ensuring proper insurance and utilization
- Ensures the overall security of IED and serves as the duty officer of the institute
- Manages payroll, statutory deductions and returns
- Prepares and presents annual accounts, co-ordinates and facilitates audits
- Reviews internal controls of the organization
- Assists the Executive Director in managing cash flow
- Manages all bank accounts and bank relations
- Performs any other relevant duties as assigned by the Executive Director
Qualifications and Competencies
- A Bachelor’s Degree in Commerce or Business Administration from a recognized institution of higher learning
- CPA finalist
- Master’s degree or other post graduate qualifications is an added advantage
- At least four years’ hands-on experience in a senior position in a non-governmental organization or institution dealing with electoral and governance issues
- Demonstrable management skills and leadership qualities
- Well organized and of impeccable integrity
- Experience and skills in planning, implementing, monitoring and evaluating programmes and projects based on results based performance management
- Proficiency in Ms Word, Ms Excel and Pastel Accounting software
- Excellent communication, report writing, analytical, training and presentation skills
Demonstrate
ability to work independently and as part of team leadership and competence in
work performance and results
