Terms of Reference:
The Travel & Protocol Clerk works under the guidance and
supervision of the NPO/Logistics/Procurement and Travel Officer and the
general supervision of the Operations Officer.
The incumbent is expected to work with minimum supervision, in
accordance with established procedures and practices, dealing with routine
matters independently and referring problems or unusual situations to
supervisor.
Summary of Assigned Duties (Describe what the incumbent has to
do to achieve main objectives, include main achievements expected):
- Assists staff
members and their dependents by processing requests for visa, Resident
Permit and Diplomatic Identification and other necessary personnel related
documents in accordance with the requirement of the United Nations and the
Country of the duty station.
- Makes hotel
reservations for new international staff members, WHO visitors,
consultants on duty travel and participants of WHO-supported training
workshops and seminars;
- Arrangement for
airport pick-up of high-level officials and support to expediting of
customs and immigration procedures, as necessary
- Produces monthly
administrative reports on vehicles movement, efficiency, vehicles
maintenance arid fuel consumption:
- Provision of
information to the staff on travel including entitlements, travel route
and hotel arrangement and arrangement for security clearance when
required;
- Processing
travel authorization and travel claims in line with travel entitlements
for staff, consultants, and visitors, ensuring that the travel arrangement
follows the WHO rules of most direct route and most competitive prices.
- Perform any
other duties as required.
Qualifications / Knowledge:
Essential: Completion of secondary school with training of general
administrative practices with focus on Logistics, Procurement and Travel practices,
theories and procedures.
Desirable: Training in UN procurement systems is an advantage. Proven
skills in drafting and editing required
Language:
Essential: Excellent knowledge of English, with the ability to work in
other UN language.
Desirable: Working knowledge of French is an added advantage.
Experience:
Essential: 5 to 7 years of experience in administrative or clerical
positions preferably in a large organization.
Desirable: Experience in the UN system or large multi culture organization
is an added advantage.
Others essential Skills:
- Work requires
the use of word processing or other software packages, and standard office
equipment.
- Formal or
self-training in the use of standard office software.
- Training in
Oracle-based or other ERP systems an asset.
