position of Office and Finance Manager
Reporting to the Managing Consultant, the Office and Finance Manager will be responsible for organizing and supervise all of the finance and administrative activities that facilitate the smooth running of the office
KEY RESPONSIBILITIES:Reporting to the Managing Consultant, the Office and Finance Manager will be responsible for organizing and supervise all of the finance and administrative activities that facilitate the smooth running of the office
The position is a very hands-on role. The main responsibilities in this role include
* Finance: provide financial management in the following areas:
o Participate in the preparation of budgets and monitor performance against the same.
o Prepare cash flow forecasts and manage the cash position
o Raise quotations, follow up for LPO’s and raise invoices for services offered
o Make payments to service providers, and manage petty cash
o Undertake bank reconciliations
o Post all financial transactions
o Prepare monthly financial and management accounts
o Liaise with Auditors in all matters relating to company audit and preparation of year-end statutory accounts.
o Liaise with Company Secretary on company secretarial issues and ensure compliance with regulatory requirements.
* Credit Control: ensure all accounts receivable are collected as per credit terms given. Payments received must be reconciled with invoices and withholding certificates.
* Payroll: prepare the monthly payroll and payment for associate consultants. Submit statutory payments and file monthly, quarterly and annual returns.
* Stationary: Maintain adequate stocks of stationary and office consumables for smooth operation of the office
* Office administration: manage the office diary, coordinate deliveries and collections by the office driver and supervise cleaning of the office. Arrange travel, meetings and appointments as required.
* Reporting: prepare weekly, monthly, quarterly and annual financial and operational reports as are required.
Key Required Skills and Experience:
* A minimum of three (3) years’ work experience in a small to medium size commercial firm in the role of office accountant or book keeper, having executive responsibilities similar to those listed above.
* Must have a diploma in business administration or any other related discipline and achieved at least CPA part 2 qualification.
* Attained a B minus or above in KSCE.
* Be confident, self-motivated, conscientious, dependable and broad-minded individual,
* Demonstrated ability to pay attention to detail and show concern for quality, ability to think on your feet and deliver the desired results on time.
* Will have good analytical skills; be results-oriented; a good planner with complimenting organizational skills.
* Be a proven team player with excellent communication, report writing and presentation skills with the demonstrated ability to establish effective working relationship with clients and colleagues.
* Have unquestionable integrity, a high level of discretion and the ability to work with confidential information.
* Computer literacy is a fundamental requirement with working knowledge of financial accounting software, preferably QuickBooks as well as Microsoft Office, particularly advanced level Excel.
The top-end salary for this position will be KShs 40,000 gross per month plus medical benefits upon confirmation.
