2. JOB DESCRIPTION
JOB TITLE: ADMIN/FINANCE OFFICER
JOB LOCATION: Primarily in GARISSA,
Kenya
JOB DURATION: 9 months (possible extension)

(In the event of an emergency and/or depending on operational needs potentially available to work in other districts, states within Kenya and/or the region).
 
2.1 OBJECTIVE OF THE POSITION
He/She will be responsible for providing assistance to the Project in all secretarial, administrative and financial activities in Magna office. He/She will supervise Magna national staff under Finance and Admin and report directly to the Project Field Coordinator and /or OD. 
2.2 MAIN RESPONSIBILITIES OF THE POSITION
General administration
• To prepare, record and update individual files of national staff: ID sheet, job description, contract, leaves, seniority, medical expenses, evaluation schedule, and salary increment, trainings, etc.

• To prepare monthly salary sheets, over time and record it for national staff in the project.
• To prepare monthly report concerning the staff follow-up.

• To pay the monthly per diem, transport lump sum and supervise the reimbursements of phone bills.
• To prepare for the movements of international staff, update and arrange necessary transportation for their arrival and departure while coordinating with logistics team.

Office Management

• To assure and maintain day-to-day office in operation without hindrance.

• To follow up legal contracts and/or agreements related to the project concerned which shall cover all area such as medical, logistics and human resources/administrative.

• To maintain ergonomic work environment in the office.
• To organize and arrange filing system properly conforming to internal rules and implementation accordingly.

Maintain and distribute staff weekly schedules.
Draft job descriptions
Active participation in recruitment
Responsible for registration, communication and paper work at the official level
Coordinate and maintain records for staff office space, phones, parking, cards, etc.
Setup and coordinate meetings and conferences.
Maintain and distribute staff weekly schedules.
Collect and maintain PC inventory and inventory generally.
Support staff in assigned project based work.
Supervising watchmen, cleaners and other supported staff
Provide office orientation for new employees if needed
Setup accommodation and entertainment arrangements for company visitors.
Accounting
• To be responsible for control of daily accounting, cashbox transactions and cash control, etc.
• To monitor and proceed a payment of all outstanding bills (telephone, electricity, local purchase
• To control local bank accounts statements (internal transfers, cash withdrawals, cheque, etc).
• To monitor professional advances to other staff members.
• To assist in preparing the monthly checklist and requests for transfers.
• To execute data entry in Magna accounting software
• To control or prepare monthly report concerning the expenses follow-up.
 

3. REQUIREMENTS
• Graduate and or fluent in English, Swahili and Somali or Arabic
• Professional Experience in a similar position

• Strong organizing, planning and analytical skills.

• Proficiency in Computer

• Knowledge and commitment to the Magna
values and ideas
• Flexible regarding job tasks and show flexibility in terms of new task being delegated
 

4. DESIRABLE REQUIREMENTS
• Knowledge from other international/local NGO
•Drafting skills of legal documents or work experience in legal issues would be advantage
