Our client is the first professional school in East Africa offering training in Brand Communications, Advertising, Public Relations and Brand Marketing. 

They seek to hire a proactive admin assistant who will also act as a Personal Assistant to the CEO.
 
Job Responsibilities
 
Admin support
  • To provide general support and coordination of office activities.
  • Ensure adequate support to instructors and students in terms class timetable, evaluation documents, attendance registers

Office Security, opening and closing
  • Ensure the office is open and closed as per scheduled working hours.
  • Ensure security is maintained at all times, by monitoring and controlling human traffic in the premises.
General housekeeping
  • Ensure general cleanliness of the office is maintained at all times.
  • Oversee the preparation and serving of staff teas and beverages.
  • Monitor usage of office supplies and make timely orders for restocking.
Repairs & Maintenance
  • Responsible for reporting the repairs & maintenance needs of the office.
Visitors and appointments
  • Ensure all visitors are assisted promptly and professionally.
  • Ensure that all appointments are well coordinated as may be instructed.
Communication
  • Ensure that both external and internal communication is handled in an appropriate and timely manner, as may be instructed e.g. telephone calls, letters, enquiries, emails, etc, with emphasis on reminders to instructors on classes, assignments, module outlines and class notes.
Records management
  • Ensure proper filling of general office admin records.
  • Provide routine reports on office operations as may be required.
Job Requirements
  • At least 2 years experience in a similar position
  • Diploma in Office Admin or other relevant field
  • Team player
  • Self driven
  • An organized approach and excellent time management skills
  • Excellent communication skills
  • The ability to work well as part of a team
  • Computer literacy and good typing skills
  • Accuracy and attention to detail
