Receptionist
Our client is seeking a receptionist whose main purpose is to attend to visitors and deal with enquiries on the phone as well as face to face.
Job Duties and Responsibilities
- Answer the
phone, screen and direct calls
- Take and relay
messages to the respective staff
- Provide accurate
information to callers about the companies
- Meet and greet
persons entering organization and direct them accordingly
- Deal
authoritatively with queries from the public and customers
- Record staff
movements in and out of organization
- Monitor visitor
access and maintain security awareness
- Provide general
administrative and clerical support
- Prepare
correspondence and office documents
- Receive and sort
out mail and deliveries
- Maintain
appointment diary manually and electronically
- Organize meeting
rooms and catering
- Monitor and
maintain office equipment and supplies
- Control
inventory relevant to reception area
- File, tidy up
and maintain high standards of cleanliness and orderliness
Required
Qualifications
- Diploma in
Business or Secretarial Studies
- 1 year
experience in a similar position
- Proficient in MS
Office and MS Outlook
- Must be able to
operate a PABX, computers and other office machines such as printers,
scanners, fax, copier etc
- Good Telephone
Etiquette
- Good oral and
verbal communication skills
- Able to
listening to everyone well
- Conduct
themselves with high standards of professionalism
- Ensure that they
maintain customer focus
- Have good
planning and organisation skills,
- Able to work
well under pressure
- Must have good
understanding and experience in supply and inventory management
- Able to
multitask
- Able to work
well with people
