Reporting to the director the secretary will ensure the organizations country’s office administration work is done in an efficient and effective manner in accordance to the organizations guidelines and instructions. The Secretary will provide support to other departments if need may be.
As the organization’s representative, the secretary is expected to show always a friendly, customer oriented attitude and behavior and to ensure professional services. As a member of the office team the secretary will liaise on all required tasks with the other office staff and reporting any problems of duty which cannot be managed by the secretary to the Director

Key Responsibilities
1. Reception and Communication
* Managing outgoing and incoming calls and relaying messages.
* Reception of visitors.
* Ensuring information of staff and partners as requested.
* Writing and drafting correspondence, reports, forms, and other documents.
* Assisting to proofread and correct material according to grammar and style.
* Organizing and updating regularly the office filing system both for hard copies and electronic filing and assisting in retrieving filed documents.
* Preparing of Office meetings, recording of minutes and follow-up of agreed work.
2. Schedules, Travel management, Missions and Events.
* Ensuring timely preparation and organization of meetings, workshops, seminars, and events.
* Supporting missions in terms of logistics and organization. Ensuring visitor’s accommodation and travel arrangements.
* Ensuring travel arrangements for the Director and office staff including travel expense reports (check and payment).
* Managing the office calendar indicating business trips, leaves’ and missions.
* Updating of the office’s slide show.

Requirements:
Qualifications and experience
* Diploma/Degree in Secretarial or Business Administration
* 3-5 years secretarial experience in a busy office
* Proven experience in secretarial duties and business administration including diary management, travel arrangements, filing, organizing meetings, etc.
* Strong planning and organization skills, a keen eye for detail and follow up skills
* Strong communication and interpersonal skills
* Good team working skills.
