development projects and has successfully completed Civil Engineering and Environmental
Services in East Africa, with their headquarters in Nakuru County and a network
of branches spread across Kenya, and East Africa.
It is in this
light that they are looking for the best staff in the market to fill in the
position of Executive
Administrative Assistant.
Position Summary
Our client is
currently seeking an Executive Administrative Assistant for its Corporate
Office.
This employee will provide high-level
administrative and operational support to the MD of the company and run/oversee
high level projects.
This position is
the point of contact for the Executive Office in working with internal
employees at all levels and locations and external customers, vendors and
associates.
This position is
NOT a typical Executive Administrative Assistant position.
This position
requires significant ability to work unsupervised, coordinate people and
projects, take responsibility and accountability for high level assignments,
work and interact in the Sales/Marketing environment, make decisions and
execute independently in a dynamic work environment.

Essential Duties & Responsibilities
- To innovate, strategize and execute plans to deliver on such deliverables as number of projects, by helping executives roll out workplace initiatives, as well as administrate daily affairs
- Help to ensure that project contracts and bids/tenders are complete and filed on time.
- Maintains customer confidence and protects operations by keeping information confidential.
- Oversee company personnel to ensure a well-motivated, high performance work force.
- Oversee operations to ensure production, efficiency, quality and cost effective management of resources
- Help in preparation & pricing the Bill of Quantities to provide a Pre-Tender Estimate
- Implementing human resource policies and procedures and managing day to day human resource administration.
- Maintain accurate, up to date comprehensive and confidential files and records to facilitate speed and efficient retrieval of documents
- Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Manage the clients Securities & Documentation and ensure efficiency in its operations.
- Any other duties as may be assigned from time to time
Education, Professional Qualifications,
Skill & Competencies
- Diploma in Business Administration/Management
- 2-3 years Executive/Administrative Assistant and/or Project Management experience or other related experience
- Marketing related experience beneficial
- Ability to balance and manage multiple projects and tasks simultaneously in a constantly changing environment
- Strong analytical and organizational skills required
- Ability to work independently, with minimal instruction and supervision
- Proactively anticipate work requirements, with the ability to identify what needs to be done and enthusiasm for taking ownership
- Demonstrate superior written and verbal communication skills
- Ability to gather, organize and display information effectively for executive presentation
- Display professionalism while working with all levels within and external to the organization
- Demonstrate highest level of proficiency in Microsoft Office (Excel, PowerPoint, Word, Publisher) and Outlook email including calendars/scheduling tasks, and Internet.
