Position Accountabilities
- Prepare detailed cost estimates, invoices and sales orders.
- Review information on estimates and invoices with Customer Service.
- Complete costing, calculate profit margins, and produce necessary journal entries.
- Process and post all accounts payable invoices to the accounting system for payment.
- Generate, process and close order tasks and work orders for each job.
- Prepare all required shipping documents for engine components and engines.
- Issue engine packages and any other supporting documents needed to process a job.
- Organize and file Engine Work Packages, Work Orders and other Quality Records.
- Organize travel arrangements and prepare travel requisitions.
- Draft and sign routine correspondence such as fax forms or purchase order requisitions.
- Create and maintain a coherent filing system.
- Provide assistance and support to the Shop Manager.
- Answer all incoming calls in a polite and professional manner.
- Receive and distribute messages in a timely and efficient fashion.
- Greet all visitors, clients, and vendors/suppliers.
- Sort and distribute incoming mail and faxes.
- Maintain adequate quantities of stationary and other office supplies.
- Make recommendations on ways to improve the efficiency and effectiveness of the office area.
- Perform all other duties as required to ensure departmental efficiencies.
Qualifications
- Minimum grade 12 with related post-secondary education or equivalent work experience in Accounting and Customer Service. Previous sales experience is preferred.
- Proficiency in office skills, typing 40 words/minute and a thorough knowledge of office equipment and procedures.
- Excellent written and oral communication as well as interpersonal skills.
- Must be able to fluently speak, read and write in the English language.
- Working knowledge and experience in the use of Microsoft Office Suite.
- Must be able to work independently and meet deadlines.
Working Environment:
An individual in this capacity must be
aware that the position will involve:
Working in an
office setting, spending extended periods of the workday working with a
computer and on the telephone.
Must be willing
to walk to various areas throughout the facility and Wilson airport throughout
the day.
There will be no
requirement to wear personal protective equipment (PPE) on a regular basis,
unless asked to work in an area where such a requirement exists.
