Executive Personal Assistant to the CEO
Resolution Health E A Ltd is a young, energetic and fast growing
regional Medical Insurance Provider with branches in Kisumu, Mombasa and
Tanzania.
Resolution Health has 225 staff and a client base of over 60,000
members.
The ideal candidate will be experienced in handling a wide range
of executive and administrative support tasks and will be able to work
independently.
This person must be exceedingly well organized, flexible, and
enjoy the administrative challenges of supporting a CEO.
Key responsibilities include:
1. Secretarial support:
- Take
and relay accurate and timely messages from telephone callers, and answer
queries where possible;
- Collect
and open all mail addressed to the CEO;
- Manage
CEO’s official expenditures and claims;
- Draft,
type and dispatch all the CEO’s correspondence;
- Schedule
meetings as and when required and ensure the CEO is well-prepared for the
said meetings;
- Coordinate
CEO’s personal schedules;
- Any
other duties as assigned by the CEO;
2. Time Management:
- Maintain
the CEO’s calendar, prioritize and schedule meetings;
- Arrange
travel plans and itineraries (domestic & international)
- Help
CEO manage output, workflow and office deadlines;
3. External Relationship Management:
- Act
as the external contact point, providing phone support, screening and follow-up
on phone calls
- Ensure
timely preparation of materials for team and Board meetings; take notes
for meetings;
- Coordinate
both on and off-site meetings with board members and management - travel
planning and all other logistical support;
4. Administrative Functions:
- Maintain
and update corporate contact databases and a good filing system and
retrieve information as and when required;
- Guarantee
that CEO related administrative procedures are led in an efficient way in
relation to costs and time;
Qualifications & experiences:
- Incumbent
must have proficient secretarial experience in a senior level preferably
for 3 years
- Advanced
diploma in Secretarial
- Bachelor’s
Degree in a business field –an added advantage
- Comprehensive
knowledge of Microsoft Office
Key Competencies:
- Experience
working with external contacts at a high level;
- Ability
to multi-task and prioritize;
- Strong
attention to detail, organized and delivers within minimal time;
- Excellent
judgment and discretion;
- Effective
verbal and written communication with good time management skills
- Assertive
and confident;
- Requires
minimum supervision;
- Excellent
interpersonal skills;
