Fleet and
Logistics Officer
Reporting to Procurement & Fleet Manager, The Fleet & Logistics Officer will provide support to all departments and programs by ensuring quality operations of MSK fleet of motor vehicles & motor cycles and will also be responsible for managing the company’s fleet in a manner that ensures cost efficiency, service quality and availability.
Fleet, Transport and Drivers’ Supervision
- Ensure
that daily allocation of driver duties and vehicles is in accordance with
Fleet Management procedures in place.
- Supervise
and monitor all drivers in their daily duties (daily vehicle inspections,
preventative maintenance reporting, filling of work tickets, cleaning of
vehicles, etc.)
- Vehicle
usage control by use of and utilization of Global Positioning System
(STOIC).
- Control
and monitor all vehicle movements, to ensure that no vehicles move without
proper authorization of the work ticket.
- Plan
and provide all the transport services for programme activities and all
day-to-day operations of MSK support office in line with the stipulated
transport request procedures.
- Ensure
the vehicles are always clean, insured and road worthy and that all
accidents, repairs and defects are reported and attended to.
- Assist
the Drivers and Team leaders in planning, preparing and controlling the
activities related to maintenance and service of vehicles.
Fleet reporting and records
- Prepare
regular reports on vehicle mileage, rentals, fuel consumption, repairs and
maintenance in accordance with MSK standards. This includes data entry on
the Fleet management system and generation of reports from the system.
- Maintain
all MSK Fleet related records and documents (vehicle insurance, work
tickets, driver file index cards, vehicle file index cards, driving test
reports, driver authorization letters, drivers rules and regulations,
Fleet related LPOs, transport requests forms, vehicle fuel logs, vehicle
fleet related requisitions and invoices, vehicle work/repair job cards,
vehicle inspection reports, vehicle handover reports and all other fleet
documents).
- Monitoring
vehicles and driver performance and identifying opportunities for
optimization
- Overseeing
insurance claims processing in respect to motor vehicle accidents/theft.
- Support
any other logistics functions within MSK support office as may be directed
by the Procurement & Fleet Manager.
Qualifications and Experience:
- A
Bachelors degree in Logistics or Fleet Management or Mechanical
engineering or any other related field
- Professional
course in Logistics or Fleet Management or mechanical related field will
be an added advantage
- Minimum
of 5 years work experience in fleet management in a busy organization
- A
valid Certificate of Good conduct and a clean driving license
- A
track record of success in fleet management and management of outsourced
services.
- Computer
literacy and ability to work effectively with a variety of IT based tools
- Excellent
verbal and written communication skills.
- Excellent
analytical and problem solving skills
- Proven
track record of using a fleet tracking system
- Good
interpersonal skills
