Background Information
Uraia Trust was established in 2011 as a successor organization to Kenya’s National Civic Education Programme phase I and II (NCEP I&II).  Uraia’s mission is to facilitate the provision of quality civic education and practical mechanisms for citizen engagement in public affairs.  In furtherance of quality service
delivery, Uraia Trust seeks to recruit a highly motivated, courteous and competent Kenyan national for the position administration Assistant-Front office operations.

The jobholder is responsible for ensuring efficient and effective administration support and front office management functions of trust. In addition, the administration assistant will manage in and outgoing correspondences and assist the administration and programme support team by ensuring a conducive work environment.

Key responsibilities
    Provide office support and reception duties in order to ensure efficiency and effectiveness as follows:
        Receive , direct and relay telephone messages and fax to users
        Receive and direct guests and the general public to the appropriate  offices and departments on need basis
        Receive and distribute incoming mails/ correspondence to relevant officers
        Make outgoing calls and dispatch of official correspondences.
        Assist in planning and preparation of meeting, conferences and conference telephone calls
        Respond appropriately to callers and public inquiries
        Assist in hosting  and provision of hospitality to official guests on need basis
    Perform secretarial and clerical duties in support of Uraia Trust as follows.
        Develop and maintain a current and accurate filing system  for general administration support
        Provide communication and secretarial support.
        Maintain adequate  inventory of office supplies and monitor use of supplies
        Assist in coordination of repairs and maintenance of office equipment
    Perform any other duty as may be assigned to you by your supervisor or head of department.

Qualifications and competencies:

A diploma holder in administration or business management studies from reputable college
Training in secretarial and front office management will be desirable
Good understanding in the use of Ms Office Suite
Demonstrate  work experience and competence in the use of Kenyan Sign language
Working experience in non profit sector or project management environment will be an added advantage.
