Summary:
To provide a comprehensive administrative support to day-to-day operations of human resources ensuring the efficient delivery of salary payments, salary adjustments, recruitment processes, and the accuracy of employee data records.
REPORTING LINES:
The Post holder functionally reports to the Head of Human Resources with a dotted line to the senior Administrator.
KEY RESPONSIBILITIES:

1. Responsible for inducting new staff and ensuring statutory registration for NSSF, NHIF, PIN & HELB as well as arranging pre-employment medical examinations with the staff clinic and taking out insurance covers.
2. Responsible for effectively recording, maintaining and reporting human resource information by updating the human resources databases and ensuring that information is accurately recorded and cross-checked
3. Preparing source documents for changing conditions for staff to incorporate change in pay, extension of contract, change of grant and termination of contract.
4. Responding to queries relating to salaries and other personnel issues for staff based in Nairobi by tracking and resolving payroll errors through liaison with the payroll offices.
5. Interpreting, assisting and advising employees on Human resources policies, guidelines and procedures and by so doing maintains and projects the Programme’s professional reputation.
6. Verifying information in the automated payroll and human resource systems concerning transactions such as new appointments, change of conditions and employee benefits.
7. Setting up and arranging recruitment activities by calling the shortlisted candidates, preparing interview venue and interview files, informing job applicants of their acceptance or rejection of employmen.
8. Reviewing all leave applications and updating the leave history, calculating leave allowance entitlement as well as managing the leave schedule.

10. Providing general administrative support such as preparing correspondence, forms and reports, arranging meetings, composing regular correspondence, processing confidential reports and documents and taking down minutes as needed.
11. Providing leave cover for other Administrative staff.
SKILLS AND COMPETENCE:
QUALIFICATION
1. Higher National Diploma in Human Resources. (KNEC)
2. Diploma in Personnel Management (KNEC)
EXPERIENCE AND OTHER COMPETENCIES:
1. At least three years experience working in a busy Human Resources Department.
2. Competent in HRM computer systems.
3. Hands on experience in MS Office Packages.
4. Excellent Interpersonal and communication skills.
5. Positive Constructive attitude to work
6. Demonstrated ability to organize work and deliver to strict timelines.
7. Accurate and attentive to detail.
